Spending Approval Limits
Within Expesite’s Cost Tracking solution, clients are able to leverage a new automated feature to control
internal approval limits for work-orders, change-orders and payment applications. This new feature allows
users to set approval limits by project roles and dollar amounts. Thus helping to ensure appropriate controls
are in place before making commitments/payments to vendors. As with all critical Expesite functions, all
communications about the transaction being approved is tracked and stored in the history - giving visibility to
project stakeholders.

Report Audits
Are your public reports getting out of control? Expesite has developed a way for you to audit the frequency of
usage for your growing list of public reports. Through a new Data Export Report (DER) you can audit how frequently
your public reports have been viewed. From this information you can then determine if the report should be kept,
deleted or made private. Please contact your account manager for more information.
Details of the DER include:
- Who is running which reports within a defined date range
- How often the reports are being pulled

Project Search
Just like the enhanced people search function, you are now able to key-in the first few letters of the project
you are looking for, from My Desktop, and Expesite auto-completes the rest or gives you a list of projects to
choose from.

Additional Cost Tracking enhancements:
|
Quantity Based Bidding/Change Orders
Have a national rollout program where you have pre-negotiated materials pricing, but you just don’t know how
many units you need per store? Expesite now has the ability to pre-fill and lock pricing for bids/change
orders – allowing vendors to submit bids that consist only of material amounts. This helps ensure national
pricing is adhered to and significantly reduces administrative support required for contract administration
on large programs.
|
|
Simplify Contracts
For those of you who have contract configurations that handle un-used line items, a simplified contract view
is now available on the contract detail page. Line items that have no amounts are not displayed on the screen,
preventing users from scrolling through hundreds of un-used cost codes.
|
|
Simplify Change Orders
For consultant contracts, a simplified change order process has been implemented that has reduced the amount
of clicks required by 20% to 60%. This savings is particularly valuable for those running higher volume rollout
programs that bear a heavy contract administration load.
